FAQs for Undergraduate Research Projects

 

How do I determine whether my research project needs HRPO review?

If both of these statements are true, then you will need HRPO review BEFORE you collect any data.

  1. You will be collecting data that you might want to include in a Senior Honors Thesis or you receive a research award (e.g., from the Office of Undergraduate Research or the Center for Ethics and Human Values) the results of which you intend to present or publish.

  2. Your data will include identifiable information about individuals.

How long does HRPO review take?

Allow at least six weeks from the date we receive your application to formal notice of determination or approval.

You may NOT begin collecting data until you have formal notification of approval from HRPO!

What do I need to have in place before I submit an application to HRPO?

  1. A faculty sponsor who will serve as your advisor for the research.

  2. A User ID number that permits you to:

    1. Complete your online Human Subjects Education (CITI)

    2. Sign on and complete your HRPO eIRB application

  3. A written protocol (i.e., a project description).

What are the responsibilities of my faculty sponsor?

The Faculty Sponsor agrees to:

  • ensure you are sufficiently trained to conduct the research;
  • ensure your understanding of human research regulations and policies;
  • review and approve your final project proposal & HRPO application;
  • meet with you regularly to monitor study progress;
  • be personally available to you should problems arise;
  • ensure you complete all required forms;
  • arrange for an alternate Faculty Sponsor in case of absence.

What is required to complete an application for HRPO?

  1. Your protocol (i.e., project description) in PDF/MS Word format.
  2. Information about any grant support for your project and a copy of any such grants in PDF/MS Word format.
  3. If your study does NOT qualify for EXEMPT status, you will need to prepare a written Consent Document (see HRPO website for guidance and samples) OR you will need to request a waiver of written documentation of informed consent when completing the application and prepare a written Information Sheet (see HRPO website for a sample).

What is required before HRPO can provide approval?

  1. Your faculty sponsor department chair must approve your protocol (approvals proceed after you press the HRPO eIRB submit button).
  2. All of the application questions must be completed
  3. All members of your research team (including your faculty sponsor) must have completed Human Subject Education (CITI).

What do I need to do if my research will be conducted abroad?

One or more of these may apply (check with your faculty sponsor AND HRPO:

  1. Documented local IRB approval of your project (SIT) or
  2. Provide HRPO with the name of an expert in local research norms and customs, and if applicable, permission from specific government officials.

What happens if I am doing human research and I do not obtain HRPO approval before I collect data?

At a minimum, you will not be allowed to use the data in an honors thesis, presentation, or publication of any sort. Blatant violations may be referred to WU academic integrity or research integrity review boards.

I received a Fulbright Award and will begin collecting data for my research project the summer after I graduate from WU. I will not be doing my graduate work at Washington University. If my research project involves human participants, does the WU HRPO need to review and approve my study?

No.  WU HRPO’s jurisdiction only applies to employees (faculty and staff) and current students (undergraduate and graduate), including fellows, postdoctoral appointees.  IRB clearance is not a requirement for Fulbright.  However, you should inquire about IRB policy at the University where you will do your graduate work and conceivably write your research results.
